Online KDS & QDS

Orders from the Hybrid Kiosk (Both POS and Kiosk side) can be synced to the online Kitchen Display System (KDS) and can also be synced and updated on the Queue Display System (QDS). 

1. Configuration

Under EPOS Backend > EPOS Apps > Kitchen Printing > Display Tab, there is a new tab to configure the online kitchen display.

To configure which kitchen printer to become Online Kitchen Display, user can click Online Display config or Add Printer. Users can choose which printer they would like to configure as online kitchen display. Not all printers need to be online kitchen display.Once at least 1 kitchen printer to be configured as online kitchen display, the Online Display status will be enabled.

2. Display

Once the kitchen printer is set up, there will be a hyperlink URL that directs users to the Kitchen Display Site. Using the KDS device’s web browser, users can click on the link to direct them to the online KDS site.

Users can click on the “Eye” icon to reveal the pin code for using the KDS. Selecting Regenerate code will provide a new authentication code and disable the old code.

 

3. Features

Different Orders Modes will have different Header Colours and Header names. The colours will help aid the Kitchen Staff when preparing the food according to the different order modes.

Order Ticket

Each order ticket that flows into the KDS will contain the required information for the chef to prepare the order.  

For set menu items, the ticket will contain additional information like set menu item and separator.

 

For orders with many line items that are too long, it will be broken down and take up 2 ticket spaces. 

For cancelled orders or orders that were voided on the POS, there will be a cancelled order pop up with a “Dismiss Order” button. The content of the ticket will also be blurred to prevent cancelled orders from being accidentally made.

4. Hidden Configuration & Elapsed Timers

Elapsed time colour and number of columns display can be configured by long pressing on the bottom left corner (boxed in red). Here will be how the settings will look like on the online KDS.

Different elapsed time will have different Colours as shown below. The colours will help aid the Kitchen Staff when potentially missing out food orders. Here will be how the different timers will look like on the online KDS.

5. Online KDS Order Page

The Order Page is the KDS’s Main Page, where users are allowed to View, Complete and Dismiss ongoing orders. There a few buttons and functions in the order page as shown below. This page will auto-refresh every 45 seconds to pull latest information from the POS.

Completing an Order

The Kitchen Staff will prepare the order according to the items displayed in the order ticket. 

Once done Kitchen Staff will:

  1. check the check boxes beside the line item
  2. Once all items have been checked or the check box at the top has been checked, kitchen staff can then send the completed order into the Order history page.

6. Order History Page

Users will be able to view the past orders in the order history page. Below each ticket, there will be a footer that indicates the status of the ticket: Completed / Cancelled. Orders will stay on the Order History page for 24 hours before they are cleared out.

7. Void Order

Orders that are voided on the hybrid kiosk will be reflected on the online KDS.

8. Order Sorting Button

Users will be able to sort orders by ticket or table view. To toggle between the view, users can click on the grid button.

Under EPOS Backend > Setup > Outlet & Registers > Selected Outlet > Receipt Template, The “Show Queue Number” option has to be checked to enable queue number printing on the customer’s receipt.

2. Display

Users need to select “Add Store” to add outlet for Queue Display.

Once the outlet is added, there will be a hyperlink URL that directs users to the Queue Display Site. Using the QDS device’s web browser, users can click on the link to direct them to the online QDS site.

Users can click on the “Eye” icon to reveal the pin code for using the KDS. Selecting Regenerate code will provide a new authentication code and disable the old code. 

The footer message can be configured in the text box, and the header logo of the QDS follows the logo on the receipt template. If footer texts are too long on the queue display and cannot fit the screen, the text will slide across the screen to show the full text

3. Features

For orders that were successfully sent to the KDS, the queue number will be shown at the ‘Now Preparing’ column of the QDS.

Once the order is ready for pickup after the user has marked the order as completed on the KDS, the queue number will shift from “Now Preparing” to “Ready for Pickup”. As seen in the pictures below, for the KDS order 90 is ticked, and shifted to the “Ready for Pickup” column.

Orders will be at the ‘Ready for Pickup’ column for 15 minutes, while orders at “Now Preparing” will stay for up to 4 hours.

4. Void Order

Voided Orders on the QDS will automatically be removed from the “Now Preparing” column.

5. Platform Supported

Platforms supported are listed as follows: POS, QR/Web Ordering, Kiosk, Grab Food, Grab Mart, FoodPanda, Deliveroo, Lala Move, In-House Delivery, Shopify, Woocommerce.

6. Orders overload

If there is an overload of orders, the latest queue order will push the older orders out of frame. There is a maximum of 15 orders at each column. However, new orders will appear at the top for the “Ready for Pickup” column, while new orders appear at the bottom for the “Now Preparing” column.

7. Ready for Pickup Order Alerts

New orders that have recently been moved from “Now Preparing” to “Ready for Pickup” will flicker for 5-10 seconds, with the 6 latest orders being highlighted in green.

8. Best practices

Users should tick orders once they are done. This is because unticked orders will stay on the “Now Preparing” column for up to 4 hours if unticked. Users should also refresh the KDS when orders are fulfilled to move completed orders to the order history page. Since completed orders still remain on the KDS page when ticked, accidentally unticking a completed order will move it back to the “Now Preparing” column. 

The queue number will not appear on the QDS if it fails to send to the kitchen. If connection is lost, the QDS will automatically sync up the orders that were placed when there was no connection.
